Procedure for creating a new appointment for same pet, same client

 

This is the procedure to create a new appointment for a client who has had an appointment in the past for the SAME pet (for example if a client had a QoL visit and it is now time for the euthanasia or, for example, if they want to schedule a Hospice Visit and they already had a QoL in the past or if they want to schedule a 2nd Hospice visit):

 

  1. Login on the website

  2. Go to Admin

  3. Go to appointment list

  4. Find the client’s name on the left column

  5. Click on the client’s name. A page will open with pre-filled fields with all the client’s information.

  6. Scroll down to the bottom of that page and click on the orange tab on the left bottom that says “Create duplicate new appointment from this one”.

  7. A new page will open with, again, pre-filled information.

  8. Change the date to the new date, change the time to the new time of the new appointment, edit anything that needs to be edited, for example which doctor it is assigned to, which CCS made the new appointment, Select the new service that the client is getting (for example, change it to Euthanasia, enter type of cremation, etc…. along with the correct new price quotes, any pertinent notes, etc…

  9. Once all the new information is correctly entered, click “Create Appointment”.

  10. A new email will be sent to the client, to Assistant and to the doctor.

The client will receive the email and the client HAS TO review his forms. The information will be all pre-filled, but they will have an opportunity to edit anything they need to edit, for example if they want a different type of cremation or if they want a paw print, etc…. So it is important to tell the client that they will have to review their forms but that it should be easy and quick. If they don’t want to change anything, THEY STILL HAVE TO SIGN AT THE BOTTOM OF EACH PAGE, navigate to the next page, sign the next page, etc…. until they get to the “Submit” button at the end, at which point we will receive the updated documents.
